Who manages the DSOM&I ?

Management of the Institute

• General Body- The General Body shall comprise all serving officers, including MNS Officers, posted at Dehradun and under jurisdiction of Station HQ Cell, and the oldest 200 retired Officers in terms of length of Membership and Life Members. A General Body Meeting shall be convened every year preferably coinciding with the end of financial year.
• Executive Committee- The Executive Committee will be composed of:-

a	Patron	GOC, Uttarakhand Sub Area.
b	President	Deputy GOC, Uttarakhand Sub Area.
c	VicePresident (Policy)	Nominated by the President amongst the Members of Management Committee.
d	Vice President (Operation)	Nominated by the President/Commanding Officer of the unit running the Institute.
e	Secretary	Selected by the Executive Committee.

What is the composition of the Management Committee ?

Three retired officers (one each from tri service) & one lady member (including spouse of a Member) & approved by the Patron, for one year (01 Apr of every year upto 31 Mar of following year). (aa) Membership will be applicable for a period of 01 year (01 Apr of a year to 31 Mar of following year), extendable for a period of upto a maximum of 02 years. (ab) A Veteran Member/ Lady Member, who has been part of the Managements Committee will be eligible to volunteer for a second tenure (after one tenure of maximum 02 years) after a cooling off period of 05 years. (ac) In case a Veteran Member/Lady Member opts to withdraw from the Management Committee, during the course of her/ his tenure, names of fresh volunteers will be sought.

What is the procedure for Applying for Membership ?

Procedure for Applying Membership

Officers eligible for membership shall complete the prescribed application form and submit the same, along with necessary documents and deposit money to the Secretary. These applications shall be processed for approval by the President.

A separate written application will be required for membership of card room. The total membership of card room shall not exceed 30. Other applications shall be put on waiting list and will be given the card room membership as and when vacancy arises. Card members on waiting list may play in card room, if seats are vacant, however, priority will be given to regular members as and when they arrive.

On approval, the applicant shall be issued suitable membership card, which shall always be brought while visiting the Institute.

The above provisions do not apply to serving officers and MNS Officers, who shall be automatic members through their respective Officers' Messes. Membership cards shall be issued to serving officers on intimation from the unit concerned.

1. Residential Proof (Permanent Resident of Dehradun) - Electricity Bill/ Aadhar Card/ Passport (Photocopy).
2. Photocopies of the following (in case of Veteran) -
1. PPO
2. Retired officers Identity Card.
3. Ex-serviceman Card Issued by DSS & A Board.
3. Photographs (Passport Size)
1. Self (for serving officers in uniform) - 2 copies
2. Dependents (Wife, Unmarried Daughter and son upto 25 yrs of age) - 1 copies each
3. Ex-serviceman Card Issued by DSS & A Board.
4. Letter from parent unit (in case of serving officers except those retaining FAF Accn).
5. Letter from Stn HQ Cell Dehradun (in case of officers retaining FAF Accn).

What are the timings of various facilities ?

What are the various facilities provided by the Institute ?

Recreational Facilities

Following facilities are provided to all members at nominal/subsidised rates/on no-charge basis on all days except closed days (every Tuesday) and specified gazetted holidays :-

1. Small scale private parties in the Main Lawns/Lounge which do not affect normal functioning of the Institute limited upto 20 Nos
2. Small scale private parties in the Golf Hut upto 50 Nos.
3. DSOM&I Cafeteria for Birth Day Parties/Children's parties upto 50 Nos.
4. Minor functions in the RNR Lawn & Party Room for duration of 2 to 3 hrs for strength less than 150.
5. Small party room at RNR complex upto strength 20.
6. Roof Top Party venue for strength upto 30.
7. Booking of Multi Purpose Hall/RNR Lawn for Wedding/ Reception etc by serving/retired officers of Army/Navy/AF.
8. Officers Messes which are members of the Institute can also book MP Hall for their regimental functions/Raising Day etc on 50% of the normal rates at the discretion of the President/Patron. This booking can only be given 3 days in advance of the date of function depending upon availability of the venue.

Centrally Organised Functions

The Institute holds organized functions (Club Night) besides, major functions on important occasions like :-

1. New Year Eve
2. Republic Day Eve
3. Independence Day Eve

The Institute also hosts official functions on special occasions like visit of dignitaries. Specific approval of the President is required for them. Attendance on such occasions is by invitation only. On these days, the Institute shall remain closed for other members.

Private Functions

The Institute provides facilities for hosting of private functions by members after prior permission in writing has been obtained from the Vice President/President. Application should be submitted to the Institute at least seven days prior to the date requested. Rates for the same will be as laid out from time to time. Member offrs messes can also book for such functions.

What are the rates for booking marriage/reception events venues ?

1. Cat - I: Direct blood relations – Self/Son/Daughters /Real Brother/ Real Sister/ Self Marriage/Reception/Course – Get Together
   Cat - II: Close relatives like Grand Children, Nephew, Niece, Brother-in-Law, Sister-in-Law
2. In addition Rs 10,000/- shall be charged for booking in R-n-R Lawn, Anubhav Hall & Ashirwad as Refundable Security Deposit, to offset any damages/losses caused to the Institute property during the event.
3. Rs 1,000/- shall be deducted from Security Deposit on account of Cleaning Charge.(For Anubhav Hall , R-n-R Lawn & Ashirwad)
4. The Actual Electricity Consumption charges during function shall be recovered from Security Deposit. (For Anubhav Hall, R-n-R Lawn Ashirwad)
5. Rs 1,000/- shall be deducted from Security Deposit on account of Generator Operation hiring charge.( For Anubhav Hall only)
6. The actual diesel consumption charges during function shall be recovered from Security Deposit. .( For Anubhav Hall only)
7. RS 500/- will be deducted towords 2 x Guest Rooms/ above Anubhav Hall Washroom Complex, when booking Anubhav Hall.
8. Marriage/ Reception venues may be booked, anytime in adv by Members, Reciprocal Members & Non Members for Cat I & II, less Non Members for Cat II.
9. Booking of Marriage/ Reception Venues will be permitted to be booked only six (06) months in advance by Non Members, under Cat II.

Cancellation of Booking

In case of cancellation of booking, the rate of deduction shall be as under:-

Major Functions (Anubhav Hall & R-n-R Lawns)

1. Rs 5,000/- will be charged if more than 45 days notice for cancellation of booking is given in writing.
2. 25% deduction will be made if notice between 30 to 45 days is given in writing.
3. 50% deduction will be made if notice between 20 to 29 days is given in writing.
4. No refund will be given if notice of 19 days or less is given.

Minor Function

1. 10% deduction in case of prior intimation in waiting attach 24 hrs before due daet.
2. No refund if no prior intimation at least 24 hrs before due daet.
3. 50% deduction will be made if notice between 20 to 29 days is given in writing in advance by me.
4. No refund will be given if notice of 19 days or less is given

Farewell Functions

Only the Patron and President of the Institute have the privilege of being given a farewell from the Institute by the Management Committee. No other dining out parties are permitted at the cost of the Institute. However units if desirous of organizing dining out of any of their unit officers will follow same procedure of organizing private parties as per role on subject.

Reciprocal Affiliation is with which all other clubs/ Institutes ?

RECIPROCAL MEMBERSHIP

1. Following Institutes are on Reciprocal arrangement with DSOM&I Dehradun:-

2. Reciprocal Member facilities will be provided only to Members visiting the City and not to Members who have permanent residence in the city where the reciprocal Institute is located.

3. Reciprocal Membership will apply only to Armed Forces officers both Serving & Retd and their families. Civilian members shall not be allowed.
