Management of the Institute
  • General Body- The General Body shall comprise all serving officers, including MNS Officers, posted at Dehradun and under jurisdiction of Station HQ Cell, and the oldest 200 retired Officers in terms of length of Membership and Life Members. A General Body Meeting shall be convened every year preferably coinciding with the end of financial year.
  • Executive Committee- The Executive Committee will be composed of:-
  • a Patron GOC, Uttarakhand Sub Area.
    b President Deputy GOC, Uttarakhand Sub Area.
    c VicePresident (Policy) Nominated by the President amongst the Members of Management Committee.
    d Vice President (Operation) Nominated by the President/Commanding Officer of the unit running the Institute.
    e Secretary Selected by the Executive Committee.

What is the procedure for Applying for Membership ?

Procedure for Applying Membership

Officers eligible for membership shall complete the prescribed application form and submit the same, along with necessary documents and deposit money to the Secretary. These applications shall be processed for approval by the President.

A separate written application will be required for membership of card room. The total membership of card room shall not exceed 30. Other applications shall be put on waiting list and will be given the card room membership as and when vacancy arises. Card members on waiting list may play in card room, if seats are vacant, however, priority will be given to regular members as and when they arrive.

On approval, the applicant shall be issued suitable membership card, which shall always be brought while visiting the Institute.

The above provisions do not apply to serving officers and MNS Officers, who shall be automatic members through their respective Officers' Messes. Membership cards shall be issued to serving officers on intimation from the unit concerned.

Recreational Facilities

Following facilities are provided to all members at nominal/subsidised rates/on no-charge basis on all days except closed days (every Tuesday) and specified gazetted holidays :-

  1. Small scale private parties in the Main Lawns/Lounge which do not affect normal functioning of the Institute limited upto 20 Nos
  2. Small scale private parties in the Golf Hut upto 50 Nos.
  3. DSOM&I Cafeteria for Birth Day Parties/Children's parties upto 50 Nos.
  4. Minor functions in the Multi Purpose Hall/ RNR Lawn & Party Room for duration of 2 to 3 hrs for strength less than 150.
  5. Small party room at RNR complex upto strength 20.
  6. Roof Top Party venue for strength upto 30.
  7. Booking of Multi Purpose Hall/RNR Lawn for Wedding/ Reception etc by serving/retired officers of Army/Navy/AF.
  8. Officers Messes which are members of the Institute can also book MP Hall for their regimental functions/Raising Day etc on 50% of the normal rates at the discretion of the President/Patron. This booking can only be given 3 days in advance of the date of function depending upon availability of the venue.
Centrally Organised Functions

The Institute holds organized functions (Club Night) besides, major functions on important occasions like :-

  1. New Year Eve
  2. Republic Day Eve
  3. Independence Day Eve

The Institute also hosts official functions on special occasions like visit of dignitaries. Specific approval of the President is required for them. Attendance on such occasions is by invitation only. On these days, the Institute shall remain closed for other members.

Private Functions

The Institute provides facilities for hosting of private functions by members after prior permission in writing has been obtained from the Vice President/President. Application should be submitted to the Institute at least seven days prior to the date requested. Rates for the same will be as laid out from time to time. Member offrs messes can also book for such functions.

What is the policy with respect to cancellation of major/minor wedding/reception events ?

  • Rs 5,000/- will be charged if more than 45 days notice for cancellation of booking is given in writing.
  • 25% deduction will be made if notice between 30 to 45 days is given in writing.
  • 50% deduction will be made if notice between 20 to 29 days is given in writing.
  • No refund will be given if notice of 19 days or less is given.
Minor Function and Small Parties
  • 10% will be charges if more than 45 days notice for cancellation of reservation from the actual date of booking is given in writing
  • 25% deduction will be made if notice between 30 to 45 days is given in writing .
  • 50% deduction will be made if notice between 20 to 29 days is given in writing in advance by me.
  • No refund will be given if notice of 19 days or less is given

Who is granted Senior Citizen Status ?

Senior Citizen Status
  • Any member of the Institute on attaining the age of 75 years and has been a Member of the Institute for a minimum period of 20 years is granted the status of Senior Citizen. Further, any other Member who has attained the age of 75 years, but does not meet the mandatory requirement of having membership of the Institute for a minimum period of 20 years will be granted the status of Senior Citizen if he/she pays the subscription amount corresponding to the period by which it falls short of 20 years. The monthly subscription of the Institute is completely waived off in such cases. Senior Citizen Status is not be granted automatically nor on retrospective effect. Members eligible for this are requested to sendt a application to grant this status.
  • Senior Citizen status member will be eligible to vote, move resolutions and attend General Body Meeting.
  • What is the Dress Code?

    Dress and General Conduct
  • Members and their families are expected to follow existing norms, dress code and rules of conduct as applicable in any Officer's Mess/Institute of the Indian Army.  Members shall dress as per current conventions observed in the armed forces. Members are also advised to observe the dress specified, if any, for centrally organized functions. Members dressed in untidy dress, Kurta Pajama, Dhoti, Sports kit,Sports Shoes, Sandals & Chappals shall not be permitted entry to the Institute. Members not following the Dress Code may lose their membership. 
  • Members of AEPTAmay utilize facility of DSOM&I Lawns only in their specified dress upto 7 PM only. 
  • Ladies must be dressed appropriately as per current conventions followed in Officers' Meles.
  • What are the rules for bringing guest ?

    Rules for Guests

    Members may entertain guests at the Institute on any day except those specified in the monthly Programme and the days when Institute is declared closed. The following rules shall apply regarding guests :-

    • Dependent children are not permitted to bring their guests to the Institute. Guests can only be entertained by a Members or his/her dependent spouse.
    • Guests must follow the laid down rules/norms of the Institute, particularly in term of dress and conduct.
    • On normal days, members shall sign in their guests in the Guest Register. For centrally organized functions, members shall intimate in advance the details of guests to the Secretary. Special guest cards shall be issued and carried by the guests. On such occasions, restrictions in number of guests and special guests charges shall be intimated separately.
    • Members can entertain not more than 08 guests at any one time. Member will be charged @250/-, per guest, for all guests in case the member desire to entertain more than 08 guests.
    • Members can entertain their guests in DSOM&I not more than 50% of the working days in a month. No Guests are permitted in Utkarsh Health Centre due to space constraints. In card room a member can entertain a guest once in seven days if space permits with an additional card room charge of 50/- per visit (This is in addtion to DSOM&I Guest Charges)

    Does the Institute have Guest Rooms what are the room charges ?

    1. Yes, the Institute has 05 Guest Rooms in Roost-n-Rollick complex, opposite the main Institute premises (Beside main entrance to RIMC).
    2. The Guest Rooms have an operational kitchen which provides all meals on subsidised rates.
    3. The booking of Guest Rooms is done by AQ, HQ Uttarakhand Sub Area. Currently, Lt Col M Shekhar, AQ can be contacted on Mob No 9821500281 for booking of Guest Rooms.

    On which day is Movie Screened ?

    1. Movie is Screened in Main Lounge on every Wed evening A English movie is screened on every last Wed of the month.
    2. Details of movie, proposed to be screened, are uploaded 4-5 days in advance, on website & intimated through watsapp.

    When is Tambola organised ?

    1. Tambola (05 Houses) is organised on every Sat Evening during Summer season (Holi to Diwali) & on every Sun Afternoon during Winter season (Diwali to Holi).
    2. Details are uploaded on website & intimated through watsapp 4-5 days in advance.

    Are Social Evenings organised ?

    1. Yes, a Social evening (Live Band/Dj/Ghazal/Rain Dance etc) is organised once a month on a at evening during Summer Season (Holi to Diwali) and on Sun afternoon during Winter Season (Diwali to Holi).
    2. Major Social Evening is organised before Diwali and on New Year Eve.
    3. Details are uploaded on Website & intimated through Watsapp groups 25-30 days in advance.

    Is it necessary to become a Member of DSOM&I, Dehradun to take membership of AEPTA, Dehradun ?
